The Team

We lead on cloud based systems and mobility, delivering projects and managing systems which allow our staff to work regardless of their location. Technology is key to our business, so proactive and forward thinking IT staff are essential elements in our success.
Scope
To provide comprehensive and pro-active administrative support to the IT Department, maintaining and improving the department’s efficiency through effective administrative duties.
Responsibilities
Key Responsibilities:
- Co-ordinate the quotation and purchasing of goods and services, processing invoices in accordance with coding and authorisation procedures. Liaise with the Accounts team to ensure timely payment. Assist in departmental budgetary control and reporting.
- Pro-active diary management and administrative support for the IT Management Team, including meeting agendas, minute-taking, and circulation.
- Work with the IT Trainers to coordinate and schedule IT training courses for staff, managing the administration and sign-up process, attendance reporting and feedback analysis.
- Review and maintain the IT contracts and supplier database, ensuring all information is up to date and accurate. Assist with contract renewal and termination, contractual terms management and with coordinating and maintaining Vendor Risk Assessment (VRA) questionnaires to ensure supplier compliance.
- Assist the team with software licensing and hardware asset management, including certified secure disposal.
- Manage IT equipment stock levels, allocation, distribution, and recovery.
- Assist with the review, organisation and publication of IT documentation and Intranet content.
- Provide ad-hoc administrative support to the wider IT Team e.g., filing, scanning, audits, organising etc. as required.
- Calculate, collate, and report on key metrics for the department to provide visibility of activities, workload, response, and user satisfaction.
- Provide administrative and organisational support to the IT Project Management team as necessary.
- Support the Information Security team in respect of policy management and publication, provide administrative support for security certification maintenance and information security awareness training.
- Build and maintain the internal knowledgebase and documentation repository, ensuring currency, consistency, and relevance.
- Assist with the maintenance of Business Continuity plans, records, documentation, exercises, and incident management.
- Identify areas of administrative process for improvement, making recommendations and plans to do so.
- Ad-hoc duties as required by the IT Management team.
Skills and Experience
- Excellent organisational skills with the ability to prioritise work

- Reliable with good time keeping
- Ability to learn new skills quickly
- Proficient in using MS Applications but particularly Word and Excel
Education and Qualifications
Minimum of Grade A-C in GCSE Maths and English.
Comments
The hours of work for this opportunity are 09:30am-5:30pm but we would expect the candidate to be committed, flexible and prepared to work beyond the normal office hours if necessary and in response to client demand. The candidate will be expected to follow the firm’s agile working policy, which embraces home working but will require employees to spend a minimum number of days each week in the office. Farrer & Co is open to flexible working by arrangement although this role is intended as a full-time position.
